Grant Progress Monitoring: A Better Way to Track Post-Award Work
Published by Fundamentl, the company behind FoundationOS. Editorial policy
The short answer
A strong grant progress monitoring workflow ties reports, deadlines, documents, outcomes, communication and follow-up tasks to the original award. That gives program staff a single view of what is due, what changed and where attention is needed.

What post-award monitoring should show
Monitoring should answer four questions quickly: what did the grant require, what has the grantee submitted, what did staff conclude and what happens next? The answer needs the approved purpose and budget beside current deadlines, reports, payments, outcomes and communication.
Status should describe risk rather than document receipt alone. A report can be submitted yet incomplete, accepted with follow-up or affected by a material program change. Preserve both the file and the review decision.
Why spreadsheets break after the award
A tracker can list dates, but it rarely preserves the reasoning behind changes. When a due date moves or a deliverable changes, staff need the request, approval, new expectation and affected payment in one history.
Assign an owner and escalation path to every requirement.
Separate due, submitted, under-review, accepted and waived states.
Connect amendments to the original obligation and approval.
Use reminders that stop when the requirement changes state.
Summarize portfolio risk without losing access to source evidence.
Build monitoring into the award workspace
Create requirements from the approved program and decision conditions, then adjust them for the individual award. The grantee should see a clear calendar, submission instructions and status; staff should see review ownership, internal notes and payment dependencies.
Portfolio monitoring should surface overdue, blocked and upcoming work by program owner, grantee and funding source. This turns monitoring into an operating rhythm instead of a periodic spreadsheet cleanup.
