Overview

Matching gift software turns an employer policy into a repeatable transaction workflow. It should help an employee find an eligible nonprofit, submit or make a donation, establish eligibility, apply the correct match rule, prevent duplication, route exceptions, authorize company funds, and preserve evidence for reporting.

The important purchasing question is not whether the platform can display a match. It is whether the organization can explain why a particular request was eligible, how the amount was calculated, who approved it, whether it was paid, and how corrections were handled.

Model the employer’s matching policy

Configure eligibility by employee population, nonprofit category, geography, contribution type, minimum and maximum, match ratio, campaign, and program year. Effective-date policy versions matter: a later policy change should not silently alter a previously submitted request.

Test the complete matching workflow

Use sample transactions that include both ordinary and difficult cases.

  • An employee gives through the platform and receives an immediate policy calculation.

  • An employee uploads evidence for a donation made elsewhere.

  • Two submissions appear to reference the same donation.

  • A nonprofit is IRS-listed but excluded by the employer’s policy.

  • An employee reaches an annual limit across several donations.

  • A paid match must be reversed or corrected without erasing history.

Separate nonprofit verification from program eligibility

An IRS registry match can establish identity and provide status or filing information, but it does not mean the organization qualifies under every employer policy. Record the EIN, verification source and date, policy evaluation, exclusions, review outcome, and any organization-supplied information separately.

Protect the program with evidence and controls

Retain the employee attestation, donation date and amount, contribution method, receipt or external confirmation when required, match calculation, approval, payee record, disbursement reference, and change history. Apply dual review to sensitive payee changes and use duplicate checks across employee, nonprofit, amount, and date.

Reduce friction without hiding policy

Show the estimated match before submission, explain why a request is ineligible or needs evidence, preserve progress, support accessible mobile use, and provide a visible status. Use reminders for correctable requests rather than rejecting them without a path forward.

Reconcile approved matches to disbursement

Keep requested, approved, scheduled, paid, failed, reversed, and reissued amounts distinct. Batch disbursement should retain transaction-level identifiers so finance and program teams can reconcile a total back to employees and nonprofits without exposing unnecessary employee information.

Measure participation and operational quality

Track eligible participation, employee contributions, company match, total impact, nonprofit reach, processing time, exception rate, duplicate rate, failed payments, and unused program capacity. Publish definitions—especially whether totals represent approved or paid funds and how reversals are treated.
