How to Move Grant Management Out of Email and Spreadsheets

The short answer

Start by moving the highest-friction handoffs into a shared workflow: application intake, reviewer assignments, applicant messages, decision records, award requirements and progress reports. The goal is not to eliminate email; it is to stop using the inbox as the system of record.

Find the workflows hiding in inboxes

Email often contains assignment, approval, exception and deadline data that never reaches the spreadsheet. Review a recent grant from intake through reporting and list every message that changed status, ownership, amount, requirement or due date.

Those messages describe the workflow the new system must preserve. Files alone are not enough; capture the decision, responsible person, effective date and connection to the application or award.

Migrate one grant cycle at a time

Choose an upcoming cycle with representative complexity and a committed internal owner. Configure the workflow, import active organizations, test permissions and run staff acceptance before opening it publicly.

  • Inventory current forms, trackers, templates, folders and recurring messages.

  • Define the authoritative record for each field before importing it.

  • Clean active data instead of reproducing every historical inconsistency.

  • Run a complete test application through award and reporting setup.

  • Document fallback, support and export procedures before launch.

What the new system of record should contain

The system should preserve the current value and its history: submitted application, review activity, decision, approved amount, conditions, agreement, payments, requirements, reports, messages and amendments. Attachments need meaningful labels and access controls rather than an undifferentiated folder.

Email remains useful for notifications and conversation. The durable outcome should return to the grant record so another staff member can understand what happened without reconstructing an inbox thread.

Questions and answers

Map the decisions and handoffs in a recent grant, configure one upcoming cycle in a shared system, migrate active data, test the full lifecycle and record future outcomes on the grant instead of leaving them only in email.
