Post-award grant management: what to track after approval

The short answer

After approval, track the award agreement, conditions, responsible people, payment schedule, reporting obligations, changes, and closeout evidence in one connected record. Give every outstanding obligation an owner and a next action.

  • Approval, payment readiness, and completed payment are different states.
  • Track obligations and changes against the award they belong to.
  • Close an award only after your organization’s required checks are complete.

Example: a condition is still outstanding

Illustrative scenario: a $20,000 award is approved, but an agreement remains unsigned. The program team records the condition and contacts the grantee. Finance sees the payment as blocked, not paid. When the agreement arrives, the authorized person clears the condition; the payment remains pending until finance confirms completion.

1. Make the approval-to-award handoff explicit

Create or update the award record with the authorized decision, approved amount, conditions, contacts, and agreement. The recipient, program, and award ID should be consistent across reports, documents, and finance records.

2. Track requirements with owners and next actions

Record what is due, when it is due, who follows up, and who accepts the evidence. “Received” and “accepted” should mean different things if a report needs substantive review.

  • Define reminders and escalation paths.

  • Keep grantee questions and responses attached to the award.

  • Record approved changes to scope, dates, or reporting requirements.

3. Distinguish readiness from payment completion

A program approval is not confirmation that funds were sent. Agree with finance on the source of truth for payment status and references. Reconcile discrepancies rather than replacing a completed transaction with a staff assumption.

4. Close the loop

Confirm required deliverables, financial records, unresolved exceptions, and the closeout owner’s decision. Preserve the history so a later staff member can explain what happened without reconstructing email threads.
