Grant Management Software
How to compare grant management software costs
Published by Fundamentl, the company behind FoundationOS. Editorial policy
The short answer
Compare costs over the same time period and scope. Include subscription, setup, migration, training, support, usage charges, integrations, and exit costs. Use written quotes and your expected usage; this guide does not provide vendor pricing or a savings forecast.
- Compare equivalent requirements and contract periods.
- Separate vendor charges from internal staff effort.
- Record assumptions, exclusions, and renewal terms.

Example: compare the scope before the total
Illustrative scenario: one quote includes migration and training, while another lists only a subscription. Add the missing scope to the comparison or mark it unknown. Do not describe the cheaper subscription as the lower total cost until the other charges are known.
1. Define a comparable scope
List your required workflows, users, programs, integrations, reporting needs, and service expectations. Ask each vendor to quote the same scope. A headline subscription price is not a complete comparison.
2. Separate one-time, recurring, and variable costs
Record the setup and migration work separately from recurring charges. Document any usage-based charges and the assumptions behind them. Include internal staff work without mixing it into vendor invoices.
One-time: implementation, migration, configuration, and initial training.
Recurring: subscription, ongoing support, and maintained integrations.
Variable: charges tied to usage, transactions, or optional services.
3. Resolve exclusions and contract questions
Ask what is not included, how renewals work, how scope changes are priced, and what data export or exit support entails. Keep unknowns visible rather than treating blank cells as zero.
4. Compare the cost with demonstrated fit
Use the evaluation worksheet to connect costs with requirements that were actually demonstrated. A lower price does not resolve a missing required capability. Ask for an updated quote when assumptions change.
Put it into practice
Software cost comparison worksheet
Use a separate copy for each vendor, then compare the same scope and period. Enter quoted amounts rather than estimates presented as facts.
